RECEPTIONISTCommunity Center Statement of General Purpose The
Receptionist provides routine administrative support in Community
Centers by handling telephone calls; greeting clients and visitors,
and providing directions as needed; preparing, copying, filing, and
distributing a variety of documents; maintaining logs and other
records; handling mail and faxes; and assisting management as
directed and in accordance with standard operating procedures.
Examples of Essential Functions and Responsibilities Greets clients
and visitors to the facility, and provides guidance and direction.
Answers telephone calls and routes callers to the appropriate
party. Prepares a variety of memos, letters, faxes, and other
documents using computer or typewriter. Photocopies documents as
directed; ensures that copy machine is stocked with paper and
toner; notifies facility management when service and supplies are
required. Handles mail and faxes and related communications; sorts,
stamps, logs, and ensures delivery to the appropriate person.
Maintains attendance logs and other records for employees, clients,
and program participants. Assists in preliminary screening and
logging of new eligibility applications. Assists in maintaining
facility files and records. Prepares identification photographs and
membership cards. Ensures that facility has an adequate supply of
required forms and other documents distributed from reception desk.
Ensures that reception area and lobby are neat, clean, and free
from unnecessary or unsafe congestion. Performs related work as
required. Core Competencies Familiarity with general office
policies, procedures, and work methods. Ability to communicate
effectively with employees, clients, program participants, and
others in a positive, pleasant, professional, and productive manner
by telephone, in writing, and in personal contacts. Ability to
produce letters, memos, and other documents on a personal computer
or typewriter; familiarity with Microsoft Word applications.
Minimum Qualifications High school diploma or G.E.D., and One (1)
related experience in an office environment, or Any equivalent
combination of acceptable training, education, and experience.
Special Requirements This position includes the normal physical
demands associated with work in an office environment, including
lifting, bending, and carrying; and travel to other facilities
throughout the Philadelphia area. This position is subject to the
overtime provisions of the Fair Labor Standards Act.
